The Hamiltons' journey in agricultural management

See how Sam and Clare Hamilton used Agrimaster and one-on-one support to transform their farm office and make more confident business decisions.

Running a grazing property through drought, shifting markets, and generational change takes more than good instincts. For Sam and Clare Hamilton, the turning point came when they finally understood what their numbers were telling them.

On the NSW Central Tablelands near Rylstone, Sam and Clare manage 'Ravenswood', a 1,070-hectare grazing property that has been in the Hamilton family for three generations. Through the Hamilton Family Trust, they also lease a further 1,224 hectares on the Windamere Dam foreshores from Water NSW. This brings their total operation to well over 2,200 hectares.

Their enterprise is flexible by design. Running finishing lambs, trade steers, and until recently merino wethers, Sam and Clare match their stocking decisions closely to seasonal conditions and market opportunity. With drought biting hard in 2025, they deliberately chose to sell down and reset. This was a decision made with clarity.

"The foundation of our stocking decisions is to match stocking rate to carrying capacity. This will provide us with an opportunity to reassess what enterprises we get back into."

This kind of clear thinking didn't happen by accident. It was built over decades and sharpened with the help of Agrimaster.

A family legacy and a shared tool

Sam is a third-generation farmer. He returned to 'Ravenswood' straight after finishing school and Ag College in the early 1980s, stepping into a partnership with his parents. Clare joined him on the farm in 1988.

In those early years, the property wasn't large enough to support the family on its own, so they leased neighbouring country, did some share-farming, and worked off-farm to keep things moving. Gradually, as Sam's parents moved toward retirement, Sam and Clare leased and then acquired the family land, piecing 'Ravenswood' back together. A 237-hectare purchase in 2019 completed the picture.

Throughout it all, one constant remained: Agrimaster.

"We inherited Agrimaster from Sam's parents. His mother was an early adopter of technology and computers and began using the program well before 1988. When we went out on our own, we stayed with the program."

Over the following decades, Sam and Clare looked at alternatives more than once. None came close.

"Over the past 15 years, we have explored alternative systems on several occasions. None has matched the functionality or suitability for our business, so we have remained committed Agrimaster users."

Unlocking Agrimaster

After years of use, Sam and Clare began to sense a gap in how they were using their long-term farm financial management software.

They recently completed business coaching and took part in agricultural programs focused on managerial accounting. These brought new skills and fresh thinking. But back at the desk, they weren't sure how to use those insights in their Agrimaster workflow.

"We knew that we were not using Agrimaster to its full capability."

That realisation led them to the Agrimaster Customer Success team, which resulted in a series of one-on-one training sessions that would change how they ran their business.

The sessions that shifted everything

The training focused on two key areas: building robust budgets and restructuring their cashbook to enable proper data interrogation. But the real shift was conceptual.

For years, Clare had diligently managed the books, but there was an issue with her approach to bookkeeping.

"We had been overly focused on year-end cash position, which meant we were missing the broader story of business performance. The training helped us see how to use our data throughout the year, not just at tax time."

Understanding the difference between tax accounting and managerial accounting was the turning point. Suddenly, the numbers were no longer just records of what had happened; they became a tool for deciding what to do next.

A more confident business

The changes Sam and Clare made after the training weren't dramatic but were consistent, and the impact has been significant.

Data entry moved from quarterly to ongoing. Quarterly reviews became monthly meetings, with Sam and Clare regularly assessing performance and making decisions ahead of time rather than reacting to events.

"We are now significantly more disciplined in completing our data entry in a timely manner. We've shifted from a quarterly, compliance-driven focus to monthly reviews, with regular meetings to assess performance and make decisions proactively."

That discipline flows through into every conversation they have with outside advisors.

"Our confidence in meeting with bankers and advisors has improved greatly. We now feel well-prepared and have a clear understanding of our financial position when entering these conversations."

The feedback from those conversations has been just as encouraging.

"We've also received positive feedback on the level of detail, accuracy and professionalism of the budgets and reports we can now produce."

Planning feels different now

Beyond the practical improvements, something less tangible has shifted too. Planning the future of 'Ravenswood' has always been a part of life on the farm, though it was not always an easy one, but now it feels more grounded.

"We also enjoy planning the future of our business much more and feel reassured that our decisions are backed by reliable, up-to-date information."

For a family that has spent generations building and rebuilding this property through droughts, market cycles, and changing conditions, that reassurance matters.

A message to other farmers

When asked what they'd say to a farmer considering one-on-one support, Sam and Clare don't hesitate.

"We strongly encourage any farmer to invest in 1:1 support. Like many, we thought we had a reasonable handle on our finances, but the training showed us how much more value we could extract from the data we were already collecting."

The partnership with the Agrimaster Customer Success team hasn't just improved their technical skills. It has also changed the way Sam and Clare think about and run their business.

"The biggest impact has been the shift from using our financials purely for compliance to using them as a genuine management tool. We are now more confident, more proactive, and better equipped to make timely decisions."

For three generations, the Hamilton family has known how to work the land. Now, with the right systems and support behind them, they know exactly how to read the business too.
